Mehrsprachigkeit kann in SmartNotes auf unterschiedliche Weisen genutzt werden: parallel (gleichzeitige Arbeit in allen Sprachen) oder nacheinander (z.B. Übermittlung an einen Übersetzer).

Die Zahlenpflege findet dabei in derselben Excel-Tabelle statt. Es werden jedoch separate Word- und PowerPoint-Dateien genutzt, die unabhängig voneinander befüllt werden. Wird das finale Dokument an einen Übersetzer gesendet, kann auf die Anlage von Word- und PowerPoint-Dokumenten in der Zweitsprache vollständig verzichtet werden.

Durch das Drop-Down Menü kann im SmartNotes Cockpit bequem zwischen den Sprachen gewechselt werden.

In der Zweitsprache angelegte Word- und PowerPoint-Dateien werden unabhängig von der Default Sprache gepflegt. Es ist zudem nicht notwenig, die gesamten Schnipsel aus der Erstsprache zu übernehmen - eventuell sollen in der Zweitsprache nur ausgewählte Kapitel verwendet werden. SmartNotes weist die fehlenden Word-Schnipsel in der zweiten Sprache als braune Felder aus, es besteht jedoch keine Pflicht, diese Dateien auch einzubinden.

Office erlaubt nur eine Culture Vorgabe in einem geöffneten Dokument. Es ist nicht möglich, die sprachspezifischen Vorgaben wie Dezimal- oder Tausendertrennzeichen unabhängig voneinander in einem Dokument zu pflegen. Office orientiert sich stets an der Systemsprache des Benutzers.

SmartNotes unterstützt bei der Hinterlegung der Culture Vorgaben. Durch einen Wechsel zwischen den Sprachen im Cockpit können die Office Dokumente unabhängig von der Systemsprache mit den jeweiligen Culture Vorgaben geöffnet werden. Diese Culture Vorgaben werden in den Spracheinstellungen gepflegt. Wechselt ein Benutzer beispielsweise zwischen Deutsch und Englisch und öffnet jeweils die Office-Dokumente, so wird ihm einmal ein deutsches und ein englisches Format angezeigt.

In einem Excel Dokument werden die Tabellen jeder Sprache angelegt und programmiert. Zur grundlegenden Excel-Programmierung wird in diesem Kapitel eingegangen: Programmierung der Excel-Tabellen. Die Programmierung der Zweitsprache muss dabei der Default Sprache entsprechen, damit der Wertabgleich durch SmartNotes erfolgen kann.

Es werden nur zusätzliche Ausgabebereiche, Namens-, Werte- und Fußnotenspalten vergeben. Eine weitere Programmierspalte wird nicht angelegt, da die Zahlen direkt aus der Erstsprache übernommen werden sollen.

Um die Tabelle der Zweitsprache in Word oder PowerPoint einbinden zu können, muss ein Ausgabebereich vergeben werden. Bei der Benennung ist darauf zu achten, dass der Name des Ausgabebereichs dem der Erstsprache entspricht. Zusätzlich zu dem Namen wird dann noch das sprachspezifische Postfix verwendet.

Beispiel: Wenn der Ausgabebereich der Erstsprache „outarea" heißt, so muss der Ausgabebereich der Zweitsprache (in diesem Fall englisch) „outarea_en" lauten.

Note

Unterscheiden sich die Namen der Ausgabebereiche, z.B. „outarea_Vorjahr" und „outarea_PreviousYear" so greifen Funktionen wie das Übersetzungsdokument oder die Übersetzungsfunktion nicht.

In der SmartNotes Programmierung sind die Wertespalten mit den Programmierspalten verbunden. Eine Wertespalte value_1 wird demnach mit Werten befüllt, die in der Programmierspalte prog_1 verknüpft sind. 

Die Wertespalte der Zweitsprache weist eine ähnliche Verbindung zur Erstsprache auf. Wird eine Spalte der Zweitsprache mit value_1 hinterlegt, befüllt sich diese automatisch in derselben Zeile mit den Werten aus der value_1 Spalte der Erstsprache.

Note
Dabei ist zu beachten, dass Änderungen in der Zweitsprache stets von der Erstsprache überschrieben werden; eine unabhängige Pflege der Werte ist nur ohne eine Programmierung möglich.

Beispiel:

In der deutschen Version der Gewinn- und Verlustrechnung wurde auf das aktuelle Jahr folgende Programmierung vergeben: value_1_PAKTUELLESJAHR01

Damit SmartNotes die Zahlen in der englischen Version automatisch zuweisen kann, muss die Programmierung der Erstsprache entsprechen. In dem Fall ist dies: value_1_PAKTUELLESJAHR01_en

Durch das „_en" kann SmartNotes die Wertespalte als eine Zweitsprache identifizieren und den Inhalt der Wertespalte aus der deutschen Tabelle in die englische übertragen.

Note

Die "Default Language" muss nicht zwangsläufig "Deutsch" bedeuten, auch wenn es bei vielen deutschsprachigen Unternehmen der Fall ist.

Wäre beispielsweise "Englisch" als Defaultsprache angelegt und "Deutsch" als zweite Sprache, dann würden die Programmierungen für die zweite Sprache den Anhang "_de" erhalten.

Eine Zuweisung der Namensspalte in der Zweitsprache bewirkt, dass der Rundungsassistent die Zeilenbezeichnungen sprachabhängig anzeigt. Wird der Rundungsassistent im Cockpit der Zweitsprache geöffnet, finden sich dort die entsprechenden Zeilenbezeichnungen.

Auch Diagramme müssen zweisprachig eingefügt werden. Der Aufbau der Diagramme entspricht dabei der typischen Excel-Funktion. Wichtig dabei ist, dass die Datengrundlage jedes Diagramms auf die Tabelle der entsprechenden Sprache gelegt wird.

Der Name des Diagramms kann über das Namensfeld oben links angepasst werden. Dazu wird das Diagramm ausgewählt und der Name oben manuell eingetragen. Durch ENTER wird die Eingabe bestätigt.

Dieser Name steht anschließend in Word zum Einfügen des Diagramms zur Verfügung.

Damit die Culture-Vorgaben in den Diagrammen gewährleistet werden können, muss die linksstehende Einstellung vorgenommen werden. Der Haken bei „Wert aus Zeile" muss angewählt und der Bereich in der Tabelle ausgewählt werden. Der Haken bei „Wert" hingegen wird entfernt.

Ab der Version 2.9 ist es möglich, ein Word-Dokument aus der Erstsprache in die Zweitsprache einzupflegen.

SmartNotes ersetzt automatisch die vorhandenen Ausgabebereiche durch die Ausgabebereiche der Zweitsprache. Auch Fließtextzahlen werden auf das „Pendant" der Zweitsprache umgebogen.

Dazu kann der Word-Schnipsel aus der Erstsprache mittels Rechtsklickmenü gespeichert werden. In der Zweitsprache kann die Datei dann über „Externe Word-Datei hinzufügen" eingefügt werden.

Wird die Zweitsprache nicht in SmartNotes gepflegt, sondern nach Erstellung des Berichts an einen Übersetzer übermittelt, gibt es die Möglichkeit, ein Übersetzungsdokument zu erstellen. Diese Option ist für Word-Ergebnisdokumente verfügbar. Dazu wird der Haken bei „Übersetzungsdokument" gesetzt und die gewünschte Sprache ausgewählt. Bei der anschließenden Generierung des Ergebnisdokuments werden alle Tabellen und Fließtextzahlen durch die Vorgaben der Zweitsprache ersetzt.

Multilingualism can be used in SmartNotes in different ways: in parallel (simultaneous work in all languages) or consecutively (e.g. transmission to a translator).

The figures are maintained in the same Excel spreadsheet. However, separate Word and PowerPoint files are used, which are filled independently of each other. If the final document is sent to a translator, the creation of Word and PowerPoint documents in the second language can be completely dispensed with.

The drop-down menu in SmartNotes Cockpit makes it easy to switch between languages.

Moreover, it is not necessary to take over the entire snippets from the first language - perhaps only selected chapters should be used in the second language. SmartNotes shows the missing Word snippets in the second language as brown fields, but there is no obligation to include these files.

Office only allows one culture preset in an open document. It is not possible to maintain language-specific defaults such as decimal or thousands separators independently in a document. Office always orients itself to the user's system language.

SmartNotes supports the storage of the culture defaults. By switching between the languages in the cockpit, the Office documents can be opened with the respective culture settings, independent of the system language. These culture settings are maintained in the language settings. If, for example, a user switches between German and English and opens the Office documents in both languages, a German and an English format are displayed.

In an Excel document, the tables of each language are created and programmed. Basic Excel programming is dealt with in this chapter: CloudProgramming the Excel tables. The programming of the second language must correspond to the default language so that the value comparison can be carried out by SmartNotes.

Only additional output areas, name, value and footnote columns are assigned. No additional programming column is created, as the numbers are to be taken directly from the first language.

In order to be able to include the second language table in Word or PowerPoint, an output area must be assigned. When naming it, make sure that the name of the output area corresponds to that of the first language. In addition to the name, the language-specific postfix is then used.

Example: If the output area of the first language is called "outarea", the output area of the second language (in this case German) must be "outarea_de".

If the names of the output areas differ, e.g. "outarea_PreviousYear" and "outarea_Vorjahr", functions such as the translation document or the translation function do not work.

In SmartNotes programming, the value columns are linked to the programming columns. A value column value_1 is therefore filled with values that are linked in the programming column prog_1. 

The value column of the second language has a similar connection to the first language. If a column of the second language is stored with value_1, it is automatically filled with the values in the same row from the value_1 column of the first language.

Note
It should be noted that changes in the second language are always overwritten by the first language; independent maintenance of the values is only possible without programming.

Example:

In the English version of the profit and loss statement, the following programming was assigned to the current year: value_1_PCURRENTYEAR01.

In order for SmartNotes to automatically assign the numbers in the German version, the programming must correspond to the first language. In this case it is: value_1_PCURRENTYEAR01_de

The "_de" allows SmartNotes to identify the value column as a second language and transfer the content of the value column from the English table to the German one.

Note

The "Default Language" does not necessarily have to mean "English", even though this is the case with many English-speaking companies.

If, for example, "French" were the default language and "English" the second language, then the programming for the second language would receive the appendix "_en".

Assigning the name column in the second language causes the Data View to display the line designations language-dependently. If the Data View is opened in the cockpit of the second language, the corresponding line designations are found there.

Diagrams must also be inserted in two languages. The structure of the diagrams corresponds to the typical Excel function. It is important that the data basis of each diagram is placed on the table of the corresponding language.

The name of the diagram can be adjusted via the name field in the top left-hand corner. To do this, select the diagram and enter the name manually at the top. The entry is confirmed by pressing ENTER.

This name is then available in Word for inserting the diagram.

SmartNotes automatically replaces the existing output areas with the output areas of the second language. Continuous text numbers are also converted to the "counterpart" of the second language.

To do this, the Word snippet from the first language can be saved using the right-click menu. In the second language, the file can then be inserted via "Add external Word file".

If the second language is not maintained in SmartNotes, but is sent to a translator after the report has been created, there is an option to create a translation document. This option is available for Word result documents. To do this, check the box "Translation document" and select the desired language. When the result document is subsequently generated, all tables and continuous text figures are replaced by the specifications of the second language.
