Um Änderungen an Office-Dokumenten in SmartNotes zu speichern, wird zuerst das Schließen des Office-Dokumentes über den „Schließen“ Button oder die Tastenkombination „Alt“ + „F4“ angestoßen. In der anschließend erscheinenden Sicherheitsabfrage wird die Frage nach einem Speichern des Office-Dokumentes mit dem Button „Ja“ bestätigt. Alternativ kann auch direkt der Button „Einchecken“ im SmartNotes-Menü verwendet werden.

Im darauf erscheinenden Dialog „SmartNotes – CheckIn“ kann im Eingabefeld ein Kommentar über durchgeführte Änderungen innerhalb des Office-Dokumentes eingegeben werden. Der Kommentar wird an verschiedenen Stellen in SmartNotes angezeigt [z.B. in der Kapitelhistorie] und dient u.a. dazu, dass die nachfolgenden Bearbeiter des Kapitels wissen welche Änderungen bislang vorgenommen wurden.

Mit einem Klick auf den Button „Einchecken“ wird anschließend das Office-Dokument für das entsprechende Kapitel hinterlegt und automatisch geschlossen. Innerhalb des Cockpits können mehrere Office-Dokumente eines Typs gleichzeitig lokal gespeichert werden. Zum Speichern von Office-Dokumenten werden die gewünschten Kapitel mit der linken Maustaste markiert. Mit der rechten Maustaste kann anschließend das Kontextmenü geöffnet werden. Durch die Auswahl des Unterpunktes „Dateien speichern“ werden die Speicheroptionen für vorhandene Office-Dokumente angezeigt. Sind bestimmte Office-Dokumente für das Kapitel nicht hinterlegt, werden die entsprechenden Speicheroptionen ausgegraut dargestellt.

Hinweis: Die Funktion zum lokalen Abspeichern von Office-Dokumenten kann auch nur für ein einzelnes Kapitel verwendet werden.

Anschließend öffnet sich das Explorer-Fenster „Ordner suchen“. Hier kann nun der gewünschte Speicherort angegeben und das Speichern mit dem Button „OK“ bestätigt werden. Soll der Vorgang vorzeitig beendet werden, kann jederzeit der Button „Abbrechen“ verwendet oder das Fenster geschlossen werden.

Jede eingecheckte Änderung an den Office-Dokumenten [Excel-, Word- oder PowerPoint-Dateien] eines Kapitels wird im Versionskontrollsystem hinterlegt und dauerhaft gespeichert, so dass zu jedem Zeitpunkt der Fortschritt und die Historie der Arbeit am Dokument eingesehen werden kann. Dieses Verfahren ermöglicht dabei einerseits den Rückgriff auf ältere Versionen von Office-Dokumenten und stellt andererseits sicher, dass immer nur eine Version eines Dokumentes Gültigkeit besitzt und für die Generierung eines Ergebnisdokumentes verwendet wird.

Innerhalb des Cockpits kann das Kontextmenü einzelner Kapiteln mit der rechten Maustaste geöffnet werden. Mit einem Linksklick auf „Historie anzeigen“ wird der Assistent „Historie“ angezeigt.

In der SmartNotes-Historie werden alle Änderungen innerhalb eines Schnipsels dargestellt. Eine gelöschte Datei erkennt der Benutzer durch die Bezeichnung „File Deleted“ im Aktionsfeld.

Um die gelöschte Datei wieder herzustellen, wird die Datei ausgewählt, die das späteste CheckIn-Datum aufweist. Dieses Dokument kann mittels eines Linksklicks ausgewählt und über den Button „Version öffnen“ geöffnet werden. Die sich öffnende Datei weist den letzten Stand vor dem Löschvorgang auf und kann im Anschluss durch das Einchecken in SmartNotes wieder gespeichert werden.

To save changes to Office documents in SmartNotes, the Office document must first be closed using the "Close" button or the key combination "Alt" + "F4". If a user opens an Office document within SmartNotes, it is locked for editing by other users. Each checked-in change to the Office documents [Excel, Word or PowerPoint files] of a chapter is stored in the version control system and saved permanently so that the progress and history of the work on the document can be viewed at any time. In the "History" wizard, all changes within a snippet are displayed in the "History Overview". These can be, for example, check-ins of Office files, status changes or also notes on document updates. Each check-in of an Excel, Word or PowerPoint file is displayed with a time stamp, comment and the responsible user.

In addition, the name of the chapter whose history is currently called up is displayed above the History Overview.

To load an older version of an Office document, select it by left-clicking and then click the "Open Version" button. If the document is then checked in again, this version is saved as the current version and thus restored.

The restoration of older Excel or Word versions is marked in the history with "RestoredFileCheckIN" with a corresponding language in brackets.
