Die meisten Tabellen innerhalb eines Berichtes können von vier bis fünf unterschiedlichen Grundstrukturen abgeleitet werden. Daher bietet SmartNotes eine einfache Möglichkeit diese Grundstrukturen innerhalb einer Formatvorlage zu layouten und anschließend innerhalb eines Berichtes zur Verfügung zu stellen. Damit ist zusätzlich gewährleistet, dass alle Tabellen eines Berichtes einem einheitlichen Format und Layout folgen.

Eine einmal angelegte Formatvorlage steht innerhalb eines Dokumentes auch dann zur Verfügung, wenn das Dokument fortgeschrieben wird.

In den Mustertabellen der Formatvorlage empfiehlt es sich folgende Eigenschaften zentral zu definieren:

Hierdurch erscheint ein Windows Explorer-Fenster, mit dem eine bereits vorhandene Excel Formatvorlage [z.B. ein Excel-Dokument mit dem gewünschten Corporate Design] oder ein schon vorab gespeichertes Excel-Dokument, welches als [zukünftige] Vorlage angepasst und genutzt werden soll, als Formatvorlage gespeichert werden kann.

Das erfolgreiche Hinzufügen der Formatvorlage wird mit dem Dialog „Erfolg“ bestätigt.

Formatvorlage bearbeiten: Zum Bearbeiten einer Excel Formatvorlage wird der Button „Excel Formatvorlage bearbeiten“ in den SmartNotes Dokumenteinstellungen für Excel verwendet. Hierdurch öffnet sich die hinterlegte Formatvorlage in Excel und kann anschließend bearbeitet werden.

Formatvorlage löschen: Zum Löschen einer Excel Formatvorlage wird der Button „Excel Formatvorlage löschen“ in den Dokumenteinstellungen verwendet. Dieser erscheint nur, wenn bereits eine Excel Formatvorlage hinterlegt worden ist, und ersetzt somit den ursprünglichen Button „Excel Formatvorlage hinzufügen“.

Die Checkbox „Erweiterte Excel-Programmierung: Legacy Modus aktivieren“ ist eine zusätzliche Funktion, um die erweiterte Excel-Programmierung zu ergänzen. Mit dieser Funktion werden alle Kontonummern als Soll-Haben-Programmierungen gewertet, die mit einen „S" oder „H" beginnen oder enden. In Excel besteht die Möglichkeit die Differenz zwischen zwei voneinander abhängigen Perioden automatisch berechnen zu lassen. Hierzu wird in Excel über das Kontextmenü die „difference"-Spalten programmiert. Die benutzerdefinierte Ausgabe- und Zahlenformate können jederzeit flexibel für die gewünschten Kapitel zurückgesetzt werden. Hierzu wird im Cockpit das Kaptiel gewählt, indem die Ausgaben- und Zahlenformate zurückgesetzt werden soll und mit einem Rechtsklick in den markierten Kapitel das Kontextmenü aufgerufen. Neben der Möglichkeit die Ausgaben- und Zahlenformate auf der Kapitelebene zurückzusetzen, ist es auch möglich, das ganze auf der Dokumentebene für das gesamte Dokument zurückzusetzen. Der Assistent für das Zurücksetzten von Ausgaben- und Zahlenformaten befindet sich unter dem Menüpunkt ,,Dokument‘‘ und kann mit dem Unterpunkt ,,Einstellungen‘‘ aufgerufen werden. Die globalen Einstellungen für Excel findet sich unter dem Reiter ,,Excel Einstellungen“.
