Hinweis: Beim Öffnen des Assistenten trifft SmartNotes eine intelligente Vorauswahl, indem automatisch die Excel-Datei des dem Word-Dokument zugehörigen Kapitels voreingestellt ist. In Excel erstellte Diagramme können ebenfalls in Word eingefügt werden. Das Diagramm wird wie gewohnt in Excel erstellt. Als Datengrundlage kann eine programmierte Tabelle verwendet werden, wodurch die Zahlen immer auf dem aktuellsten Stand sind.

Tabellen und Diagrammen kann beim CheckIn eine Tabellenvorlage zugewiesen werden. Mit einem Klick auf „Vorlage wählen“ können Tabelleneigenschaften wie z.B. Paddings, Spaltenbreiten, Einzüge oder Positionierung eingestellt werden.

Diese zentralen Einstellungen werden anschließend für jede Tabelle und jedes Diagramm übernommen, für die das jeweilige Template ausgewählt wurde. Wird die Tabellenvorlage geändert, werden alle dem Template zugeordneten Tabellen und Diagramme entsprechend angepasst.

Mit einem Klick auf den Button „Neue Vorlage" wird eine neue Vorlage in der Vorlagenverwaltung hinterlegt. Es können sowohl ein neuer Name vergeben als auch das Format ausgewählt werden.

Als Format stehen folgende Optionen zur Verfügung:

RTF Table: Die Tabelle wird im RTF-Format eingefügt
Metafile (as Image): Die Tabelle oder das Diagramm wird als Bild eingefügt. Diese Option wird vor allem für Diagramme verwendet
HTML Table: Das Default-Format, mit dem Tabellen eingefügt werden.
Excel Table (OLE Object): Die Tabelle oder das Diagramm wird als Excel-Objekt eingefügt. Im Falle eines Diagramms sorgt diese Option dafür, dass die Elemente bearbeitbar und verschiebbar sind. Hierbei ist zu beachten, dass de automatische Aktualisierung diese Veränderungen wieder aufhebt.

Hier können zunächst die Breite, der Textfluss und die Position der Tabelle festgelegt werden.

Über den Button „Zellenbegrenzung“ können die Zellenbegrenzungen definiert werden.

Es können für alle vier Richtungen [oben, unten, links, rechts] zwischen Text und Rahmen Leerräume gesetzt werden.

Über den Reiter „Zeile und Spalte“ kann z.B. die Spaltenbreite festgelegt werden.

Die Checkbox „Wiederhole als Überschriftenzeile zu Beginn jeder Seite“ fügt bei mehrseitigen Tabellen die erste Zeile [meist Namenszeile] auf jeder neuen Seite erneut ein.

Es wird immer nur die erste Zeile wiederholt. Ist der Tabellenkopf auf mehrere Zeilen aufgeteilt, so wird trotzdem nur die erste Zeile berücksichtigt.

Tabstopps werden bei der Darstellung von Prozentangaben genutzt. Durch den Tabstopp werden die Zahlen rechts eingerückt, damit die Zahlen in der Tabelle untereinander stehen. Das Prozentzeichen ragt dabei rechts heraus.

Diese Einstellung sollte nur in Verbindung mit Prozentzeichen genutzt werden, da die Tabelle ansonsten falsch formatiert wird und die Ausrichtung der Zahlen nicht mehr stimmt.

Über den Reiter „Sonstige" werden drei Einstellungen angeboten:

Nicht vom nächsten Absatz trennen: hierüber kann eingestellt werden, ob die Tabellenabsätze zusammenhalten oder voneinander getrennt werden sollen. Standardgemäß ist der Haken in der Vorlage gesetzt. Besonders aber bei Tabellen, die über mehrere Seiten laufen (wie z.B. die Anteilsbesitzliste) macht es Sinn, den Haken in der Vorlage zu entfernen.
Hintergrundfarbe entfernen: Markierungen, welche durch die Hintergrundfarbenfunktion erstellt wurden, können über diese Option ausgeblendet werden. Die Markierung bleibt dabei in der Exceldatei erhalten, ist in Word aber nicht sichtbar.
Minus Null ("-0") ersetzen mit: über diese Funktion kann bestimmt werden, wie mit einer -0 in der Tabelle umgegangen werden soll. Wird hier ein Wert eingetragen, überschreibt dieser die zentral hinterlegte Vorlage unter den .

Nachdem die Auswahl des gewünschten Templates und Ausgabebereichs gespeichert wurde, kann über den Button „Einfügen“ die Tabelle in das Word Dokument eingefügt werden.

Three settings are offered via the "Other" tab:

Keep with next: this can be used to set whether the table paragraphs should be kept together or separated from each other. By default, the check mark is set in the template. However, especially for tables that run over several pages (such as the list of shareholdings), it makes sense to remove the tick in the template.
Remove background colour: Markings created by the background colour function can be hidden using this option. The marker remains in the Excel file but is not visible in Word.
Replace Minus Zero ("-0") with: This function can be used to determine how a -0 is to be handled in the table. If a value is entered here, it overwrites the centrally stored template under the Extended Layout Settings.
