Voraussetzung zum erstellen der Jahreserklärung (später = JE) ist, dass das System mit den kompletten Daten aus dem Jahr bereits gefüllt ist.

Periode und Steuerkennzeichen für die Jahreserklärung

Im ersten Schritt wird wie bei den Voranmeldungen eine neue Periode erstellt. Hierbei wird jedoch die Periodenart "Umsatzsteuer - Jahreserklärung" ausgewählt. Sollte es sich dabei um die erste JE handeln können keine Steuerkennzeichen Stammdaten aus einer Vorjahresperiode übernommen werden, andernfalls kann die zu kopierende Periode unter "Stammdaten StKz aus Periode" im danebenstehenden Dropdown-Menü ausgewählt werden. Dann werden alle StKz aus der Vorjahres Periode übernommen und es müssen nur die neu hinzugekommenen StKz ergänzt werden. Für den Fall das es die erste JE ist, müssen alle StKz erstmalig in der JE hinterlegt werden und über das "Steuerkennzeichen Mapping" auf die richtigen Feldpositionen zugeordnet werden. Dies funktioniert genauso, wie bereits bei der Voranmeldung.

Da sich das Formular jedes Jahr ein wenig ändert ist zwingend zu prüfen, ob die Steuerkennzeichen Mappings noch richtig sind.

Import der Daten

Anders als in den Voranmeldungen werden die Daten nicht aus einem Report, sondern aus den bereits bestehenden Voranmeldungsperioden importiert. Dies geschieht direkt über den Bereich "Meldung" und nicht über "Import" ( Wofür der Bereich Import in der JE ist, steht unter "Import/Jahresabgleich").

Im Bereich der Meldung gibt es den oben unter der Navigationsleiste den Button "Übernahme VA-Werte" und "Übernahme VA-Werte für ausgewählte Gesellschaften". Beim letzteren können mehrere bis alle Gesellschaften für eine schnelle Übernahme ausgewählt werden. Mit Betätigung der Buttons werden alle Daten in der Gesellschaft oder Gesellschaften in das Formular importiert.

Import / Jahresabgleich

Der Jahresabgleich verprobt den Jahresreport aus SAP mit den Werten die aus den Voranmeldungen für das gesamte Jahr übernommen wurden, um mögliche Differenzen aufzudecken. Dabei kann es sich um Differenzen sowohl im SAP (z.B. fehlende Nachbuchungen) als auch im VAT@GTC (z.B. fehlendes Steuerkennzeichen Mapping) handeln und ist genauer zu untersuchen.

Der Jahresreport wird im Bereich "Import" manuell oder über das Netzlaufwerk importiert. Das importieren funktioniert hier wie in der Voranmeldung. Bei dem Jahresreport handelt es sich um nur einen Report, einen RFUMSV00 über das ganze Jahr.

Meldung bearbeiten

Im Bereich Meldung werden die Werte der JE bearbeitet und geprüft. Über das neben einer Feldposition wird die Detailansicht geöffnet, in der die bereits übernommenen Werte angezeigt werden.

Manuelle Änderung

Ferner ist es möglich manuelle Buchungen zu erstellen. Dazu wird in der Zeile Änderungen das Steuerkennzeichen ausgewählt und ein Wert eingetragen. Bevor der Wert über das + bestätigt wird, muss noch in der darunter liegenden Zeile ein Kommentar von mind. 5 Zeichen ergänzt werden. Eine Manuelle Buchung kann über das "x" wieder rückgängig gemacht werden. Das System erstellt dann automatisch eine Stornobuchung, die noch bestätigt werden muss.

Dokumentation

Über die "Heftklammer" ist es möglich zur Dokumentation von Buchungen oder Änderungen Belege anzuheften.

Besondere Zeile

Es ist darauf zu achten, dass bestimmte Zeilen händisch ausgefüllt werden müssen. Dies betrifft z.B. die Zeilen 133 bis 145, in denen aus Dropdown-Menüs Werte ausgewählt oder Checkkästchen angehakt werden können.

Meldung Organkreis bearbeiten

Die Meldung Organkreis fasst alle Werte des gesamten Organkreises zusammen.

Per Mouseover über die grünen Quadrate, die sich in den befüllten Zeilen neben den Werten befinden, werden alle Werte aus den verschiedenen Gesellschaften aufgespalten angezeigt, die in dieser Zeile einfließen.

Die Meldung Organkreis dient in erster Linie nur als Übersicht der kumulierten Werte. Jedoch ist auch hier darauf zu achten, dass die oben als "Besondere Zeilen" genannten Zeilen händisch ausgefüllt werden müssen.

Sobald die Meldungen abschließend geprüft sind können diese versendet werden.

Meldung versenden

Die Meldung wird im Bereich "Meldung versenden" an das Finanzamt übermittelt.

Es ist erforderlich, dass ein gültiges Elster-Zertifikat in den Einstellungen hinterlegt ist.

Im Anschluss an die Versendung steht das Protokoll zum Abruf bereit. Das Protokoll wird nicht gelöscht und bleibt im System unter Meldung versenden bestehen.

Reporte

Verschiedene Reporte zu Auswertungs- und Analysezwecke in Excel stehen im Bereich "Reporte" zur Verfügung. Die Reporte werden durch Klick auf das Excel Symbol automatisch heruntergeladen und können dann geöffnet werden.

The requirement for creating the annual return is that the system is already filled with the complete data from the year.

Period and tax code for the annual return

In the first step, a new period is created as for the VAT return. However, the period type "VAT - annual return" is selected here. If this is the first annual return, no tax code master data can be copied from a previous year's period, otherwise the period to be copied can be selected under "Master data Copy based on" in the drop-down menu next to it. In this case, all the data from the previous year's period will be copied and only the newly added data will have to be added. In the case that it is the
first annual return, all the tax codes must be stored in the JE for the first time and assigned to the correct field positions via the "Mapping of Tax codes". This works in the same way as for the preliminary return.

Since the form changes a slightly every year, it is mandatory to check whether the mappings of tax code are still correct.

Import of data

Unlike in the VAT return, the data is not imported from a report, but from the already existing VAT return periods. This is done directly from the "Declaration" area and not from "Import" ( What the Import area is for in annual report is under "Import /Import year/ Validate" ).

In the notification area, there is a button at the top of the navigation bar called "Import Preliminary VAT Return values" and "Transfer Preliminary VAT Return values for selected units". In the latter case, several to all companies can be selected for a quick transfer. By pressing the buttons, all data in the company or companies will be imported into the form.

Import / Annual adjustment

The yearly reconciliation checks the annual report from SAP against the values taken from the preliminary reports for the entire year to detect possible differences. These can be differences in SAP (e.g. missing subsequent postings) as well as in VAT@GTC (e.g. missing tax code mapping) and must be examined more closely.

The annual report is imported manually in the "Import" area or via the network drive. The import works the same way as in the pre-declaration. The annual report is only one report, RFUMSV00 for the whole year.

Editing declaration

In the declaration section, the values of the annual return are edited and checked. The sign next to the field position opens the detail view, which shows the values already taken over.

Manual changes

It is also possible to create manual postings. To do this, the tax code is selected in the Changes line and a value is entered. Before the value is confirmed via the +, a comment of at least 5 characters must be added in the line below. A manual posting can be cancelled by pressing the "x". The system then automatically creates a cancellation posting that still needs to be confirmed.

Documentation

By clicking the "Staple" it is possible to attach receipts to document postings or changes.

Special line

Attention should be paid to the fact that certain lines must be filled in manually. This concerns, for example, lines 133 to 145, where values can be selected from dropdown menus or checkboxes can be ticked.

Editing VAT group return

The VAT group return summarises all values of the entire VAT group.

By moving the mouse over the green squares next to the values in the filled rows, all the values from the different companies that flow into this row are displayed.

The VAT group return is primarily used as an overview of the cumulated values. However, it should be noted that the lines mentioned above as "Special lines" must be filled in manually.

As soon as the declarations have been checked, they can be sent.

Send declaration

The declaration is sent to the tax office in the "Send declaration" section.

It is necessary that a valid Elster certificate is stored in the settings.

After sending, the protocol is available for retrieval. The protocol is not deleted and remains in the system under send declaration.

Reports

Various reports for evaluation and analysis purposes in Excel are available in the "Reports" section.

The reports are automatically downloaded by clicking on the Excel symbol and can then be opened.
