The subdialogue [Status] serves as a home screen and provides information about the current status of the performed VAT ID checks in the VAT@GTC.
Select the period and company for which the check is to be carried out under the heading [Requesting Unit].
The results of already performed checks are listed under the [Overview of requested checks]. The individual functions and symbols are listed in the table below.
Show | Displays all checked VAT IDs within the selected check. In addition, it can be checked, where the error origins from: for example, if the VAT ID is invalid, or if the company name or address information is wrong. | |
Delete | Archives the selected check. | |
Result | means that all checked VAT IDs are valid. means that at least one checked VAT ID is invalid or the address/company name is wrong. | |
Number of Errors | Provides information on the number of errors that occurred during the check. | |

Simple check before ESL submission
There are two ways to perform the check. On the one hand, the simple check is available in the [ESL] dialogue. On the other hand, a qualified check can be carried out after the import of a CSV document. During the simple check, it is checked whether the VAT ID under consideration is valid.
Click on the [] button in the ESL form, to change to the [VAT ID Overview] page.
In the check dialogue, all VAT IDs including the corresponding master data of a selected import are displayed and checked.
It is possible to select one of the two interfaces: VIES or BZSt. BZSt: interface to the Federal Central Tax Office.
VIES [VAT Information Exchange System] is the interface of the European Commission. Using the VIES interface it is also possible to check German VAT IDs.
Having selected the VAT IDs to be checked, start the simple check by clicking on the corresponding button.
Good to know!
An invalid VAT ID is not necessarily an error. It might have been valid in the reporting month, but not at the time of the query. This can be checked directly at the Federal Central Tax Office.
If the check was successful, the following window is displayed automatically. The findings of the check are listed under [Result].
Click on the [] to go to the [] or on [Back to ESL] to go back to the [ESL].
Import
Apart from the possibility to check VAT IDs in the ESL, it is also possible to import a CSV file. The figure below represents the import process.
Good to know
The imported csv file is expected to be encoded in UTF8.
If required, an individual name can be assigned to every import. Otherwise, the system uses a standard name: VAT ID-Import-Date. | |
| Find the data path to the selected CSV file. The user has to select the file and confirm by clicking on the [Open] button or by double-clicking the file. |
Having selected the file path, start the import process by clicking the [Import] button. If the import is successful, data sets will appear in the table below. Data sets are saved automatically. | |
The link appears as soon as the data sets are saved. By clicking this button, the user changes to the VAT ID check. |
The [VAT ID Overview] dialogue offers an overview of all performed imports.
Qualified check
During the qualified check, it is checked whether the VAT ID under consideration is valid and whether the master data available in the system match the registered contractor data.
The interface of the European Commission (VIES) or the Federal Government (BZSt) can be selected.
In addition to the check of the validity of the VAT IDs, the VAT@GTC also checks address details and the company name. If there are differences to the master data saved in the VAT@GTC, they are highlighted in red.
Good to know
The qualified examination via the BZSt web service is only possible with a valid German VAT identification number stored in the master data.
