The requirement for creating the annual return is that the system is already filled with the complete data from the year.
Period and tax code for the annual returnIn the first step, a new period is created as for the VAT return. However, the period type "VAT - annual return" is selected here. If this is the first annual return, no tax code master data can be copied from a previous year's period, otherwise the period to be copied can be selected under "Master data Copy based on" in the drop-down menu next to it. In this case, all the data from the previous year's period will be copied and only the newly added data will have to be added. In the case that it is the first annual return, all the tax codes must be stored in the JE for the first time and assigned to the correct field positions via the "Mapping of Tax codes". This works in the same way as for the preliminary return. Since the form changes a slightly every year, it is mandatory to check whether the mappings of tax code are still correct. Import of dataUnlike in the VAT return, the data is not imported from a report, but from the already existing VAT return periods. This is done directly from the "Declaration" area and not from "Import" ( What the Import area is for in annual report is under "Import /Import year/ Validate" ). In the notification area, there is a button at the top of the navigation bar called "Import Preliminary VAT Return values" and "Transfer Preliminary VAT Return values for selected units". In the latter case, several to all companies can be selected for a quick transfer. By pressing the buttons, all data in the company or companies will be imported into the form.
Import / Annual adjustmentThe yearly reconciliation checks the annual report from SAP against the values taken from the preliminary reports for the entire year to detect possible differences. These can be differences in SAP (e.g. missing subsequent postings) as well as in VAT@GTC (e.g. missing tax code mapping) and must be examined more closely. The annual report is imported manually in the "Import" area or via the network drive. The import works the same way as in the pre-declaration. The annual report is only one report, RFUMSV00 for the whole year.
Editing declarationIn the declaration section, the values of the annual return are edited and checked. The sign next to the field position opens the detail view, which shows the values already taken over. Manual changesIt is also possible to create manual postings. To do this, the tax code is selected in the Changes line and a value is entered. Before the value is confirmed via the +, a comment of at least 5 characters must be added in the line below. A manual posting can be cancelled by pressing the "x". The system then automatically creates a cancellation posting that still needs to be confirmed. DocumentationBy clicking the "Staple" it is possible to attach receipts to document postings or changes. Special lineAttention should be paid to the fact that certain lines must be filled in manually. This concerns, for example, lines 133 to 145, where values can be selected from dropdown menus or checkboxes can be ticked.
Editing VAT group returnThe VAT group return summarises all values of the entire VAT group. By moving the mouse over the green squares next to the values in the filled rows, all the values from the different companies that flow into this row are displayed. The VAT group return is primarily used as an overview of the cumulated values. However, it should be noted that the lines mentioned above as "Special lines" must be filled in manually. As soon as the declarations have been checked, they can be sent.
Send declarationThe declaration is sent to the tax office in the "Send declaration" section. It is necessary that a valid Elster certificate is stored in the settings. After sending, the protocol is available for retrieval. The protocol is not deleted and remains in the system under send declaration.
ReportsVarious reports for evaluation and analysis purposes in Excel are available in the "Reports" section. The reports are automatically downloaded by clicking on the Excel symbol and can then be opened. An overview of the reports can be found here: Reports.
