| To insert an output area from an Excel file into a PowerPoint file, the associated PowerPoint file is first opened in the Cockpit. To do this, the entry "Edit PowerPoint file" can be used in the context menu of the chapter - accessed by right-clicking on the chapter. Alternatively, it is possible to open the document by double-clicking on the PowerPoint symbol or the last modification time. To insert a table or a diagram from an Excel file, select the corresponding slide in the PowerPoint document and then use the "Insert table" button in the SmartNotes ribbon of PowerPoint. |

| This opens the "Insert Table" wizard. When opening the assistant, SmartNotes makes an intelligent preselection by automatically presetting the Excel file of the chapter associated with the PowerPoint document. If no Excel file [with output range] is stored for the corresponding chapter, SmartNotes searches for the closest Excel document in the outline and uses this as a preselection. |

| The output area is included in the PowerPoint file depending on the selected setting in the document settings [Metafile [Graphic], Bitmap or Excel Table [OLE Object]]. The report values can therefore not be changed in the PowerPoint file itself, but must be adjusted in the Data View or in the corresponding Excel file. The report values in the table [in the output area] are automatically updated each time the PowerPoint document is used, for example when opening or generating the business report. Alternatively, the entire document can be updated via the "Refresh" button in the SmartNotes Ribbon.
After selecting the desired output area, it can be imported via the "Insert" button. |

| To insert a ThinkCell diagram in PowerPoint, the table must first be programmed with name_1, value_x and prog_x in the corresponding Excel file, and an output area must be assigned. Then a PowerPoint file can be added in SmartNotes, which must remain open during the actions described below. In the next step, the affected area is selected in the Excel snippet and a chart type is selected in the ThinkCell menu of Excel, e.g. "stacked". |

| This diagram is then inserted into PowerPoint. So that the diagram can be updated from SmartNotes in PowerPoint, a name is stored for the diagram. To do this, click on the PowerPoint diagram with the left mouse button and enter a name of your choice. |

| The normal mode of operation of SmartNotes is that [edited] documents are updated and stored on the server when they are checked in. However, if a copy of the opened PowerPoint file is to be saved on the user's computer, the button "Save copy as ..." in the SmartNotes ribbon can be used.
An explorer window then opens to specify the storage location for the local copy. The name used by SmartNotes for the document is automatically entered as the file name. However, in contrast to the file type, this can be changed by the user as desired. After selecting a location, the button "Save" can be used to create a local copy. The Explorer window is closed automatically and the file is then available for opening outside the SmartNotes runtime. The process can be terminated at any time by pressing the "Cancel" button. |
