Company Overview

There are three different display variants for the companies. The [List], the [VAT group structure] and the [Matrix]. When entering the dialogue, the list view is always displayed first.

List

In this view, the companies are listed in tabular form. The rows contain the companies, the columns contain the corresponding information on the individual companies. The columns displayed can be selected via the function [Show/Hide Columns]. 

Good to know

The storage period of the list settings can be adjusted under [Settings → My Profile].

Only from this view can existing companies be edited, deleted or examined in the detailed view.

VAT group structure

VAT group structure:

  • purple         → the representative or consolidated VAT group member

  • light purple → VAT group members 

  • blue            → company subdivision

  • red              → standalone company

The view of the VAT group structure is useful to get an overview of every company.

Matrix

The matrix overview always covers all periods that are in the same calendar year as the currently selected periods. This view therefore makes it easy to see, among other things, which company exists in which periods.

The companies are only shown by their unit number, as the name and the complete unit ID can change within a year. 

The following information can be found in the individual fields of the table:

  • The Unit ID: The Unit ID is composed of the Unit number, the reporting country and the Unit type. If it is not an representative VAT group member, the unit ID of the representative VAT group member is appended afterwards. The unit ID always ends with "---".  The individual pieces of information are separated by a hash. The unit ID can therefore always be used to identify which tax group a company belonged to and when.

  • If a company reports on a quarterly basis, it is marked with a red Q.

  • If a company reports manually, it will be marked with a green M.

  • If a company reports the ESL, it is marked with a blue Z.

Creating a company

A company is created in the five subdialogues [Company settings], [Organizational unit data], [Report relevant data], [Employee data] and [Additional information for the notification forms].

The dialogues must be filled one after the other with the relevant data and then saved with [Save]. How to fill the individual subdialogues is described in the following sections.

Good to know

In the event that a licence with a limited number of companies is deposited and at least 90% but not 100% of the companies already exist, there is a warning that the maximum number of companies will soon be reached. In the event that the company limit is fully exhausted, the creation of a new company is prevented. If more companies are to be created, AMANA must be contacted for a licence extension.

Company parameters

General Information

The period is already specified in the first subdialogue [Company settings]. If it does not correspond to the desired period, it can be changed in the [Home] dialogue. The change is noted in the view, so that the processing can be continued in dialogue [Company]. It is recommended to create the companies in their hierarchy from top to bottom, i.e. first of all, as the parent company, then intermediate bodies and finally subsidiaries, and first intermediate companies and then partial companies.

Copy based on

If the company data are similar to the data of any already created company [this company must be available in the selected period], it is possible to copy the company data to the current view. After that the copied data can be adjusted.

ID

Every company needs a separate ID in the VAT@GTC. It is recommended that the assigned number is identical 
to the company number used in other systems.

Name

The company name has to be the actual and full name of the company, including the form of organization. This is important, since this information will be later sent to the tax office.

Different unit name

Supplementary information on the company name.

Shortname

A company’s short name for internal purposes can be entered here.

Location

Location stands here for the location of the company’s administration office. This entry can be used for internal purposes and has no functional meaning for the VAT@GTC.

Street, House number, House numbersuffix, postcode / zipcode, City, Address extension

This information will be used for forwarding the VAT returns to the tax office.

Country of domicile

The official home country of the company.

Reporting country

The reporting country refers to the country in whose context the period exists.

Post office box, postcode / zipcode

A Post office box can be entered.

Type of unit

This information is only for internal purposes.

Business Area

Enter the business area or the sector in which the company operates. 
This information is only for internal purposes.

Tax number

Please enter the correct tax number of the company here. This number will be used for forwarding the VAT 
returns to the tax office. 

  • On mouseover the [Explanation] symbol provides important information on the components of the tax number in order to facilitate the input. Verification of the tax number correctness cannot be done by the VAT@GTC.

Local tax office [No.]

Please enter the correct number of the local tax office here (it can be found online or in the letters from the local tax office). This number will be used for electronic forwarding of the VAT returns. 

  • On mouseover the [Explanation] symbol provides important information on the structure of the tax office number in order to facilitate the input. Verification of the tax office number correctness cannot be done by the VAT@GTC.

Tax office clearing account

If the company only uses one collective account instead of debitor and creditor accounts, the field clearing account tax office can be activated. After activation, only the line [Tax office clearing account] appears instead of the two lines [Customer account number] and [Vendor account number].

Debitor account

The debitor account contains information about outstanding receivables (VAT refund) related to the tax office.

  • This information is optional and it does not affect other areas of the VAT@GTC. It can be analysed in an Excel report or an accounting record.

Creditor account

The creditor account contains information about the liabilities (VAT to be paid) related to the tax office.

  • If the company uses only one collective account instead of the debitor and creditor accounts, the Clearing Account tax office field can be activated.

Notice

In this text field, further relevant information about the company can be entered. This information is optional and it does not affect other areas of the VAT@GTC.

SAP system type and allocation of interfaces

Using the drop-down menu [SAP system type] the SAP system or group that is relevant for the company can be selected. This is possible only if the SAP systems have been created in the [Settings → Connecttion parameter] area.

Additional information can be added in the field for entering free text.

In the section [Assignment of interfaces], import interfaces can be assigned, which are created under [Settings → Interface configuration]. On the one hand, this includes different import variants, i.e. a web service or network drive interface, or also a simple definition of the import file, including file type and coding. If no information is stored, the default setting is used. The standard setting either applies universally or must be stored. See: Interface configuration.

Good to know

Clicking on the [Create] button saves the entry without closing the dialogue. The new entry appears under the input box. The change is only finally saved by [Saving] all changes to the company. 

VAT Group data

In the subdialogue [VAT group data] it can be defined whether the company will send its return independently or as a member of a VAT group. The [type of VAT group member] is used to define the exact type of the company. The following options are available:

Standalone

Select this option if the company sends its VAT return independently.

VAT group member

Select this option if the company is the member of the VAT group. To create a member of a VAT group, it is necessary to create the corresponding representative VAT group member in the current period first.

Representative VAT group member

Select this option if the company is a representative VAT group member.

Consolidated VAT group member

Select this option if the company data are not sent directly to the “representative VAT group member”, but first have to be consolidated with the data of other members of the VAT group. To create a consolidated VAT group member, it is necessary to create the corresponding representative VAT group member in the current period first.

Company subdivision

Can be selected if the company’s accounting is represented in several SAP systems due to merging or restructuring. The company subdivision is used to represent the company code. Several company codes [company subdivisions] in the VAT@GTC can be cumulated into a legal entity in the parent company [the representative VAT group member / consolidated VAT group member]. It is possible to create VAT group members, alternatively to company subdivisions, with the only disadvantage that it is not possible to submit a bundled ESL for the legal company. In case of a company subdivision, the data are consolidated, so that the consolidated or representative company submits only one ESL.

Parent unit is used for the proper organisation of reporting data in the VAT groups. Depending on the selected company type only certain companies are available in the drop-down menu:

  • Representative VAT group member and Standalone never have parent companies, thus the field is deactivated.

  • VAT group member, Company subdivision and Consolidated VAT group member can select the representative VAT group members and consolidated VAT group members as their parent units.

Date limits in the current period

The date limits are set to register the access and disposal of a company in VAT group accurately. The start and end dates are copied from the [Period] dialogue. Dates can be changed if the company has not been a member of the VAT group in the prior period and enters the VAT group not on the first day of the month or if the company will leave the VAT group not on the last day of the month. This is also taken into account when submitting the annual VAT return.

Overall periods

The overall periods fields are available to document when a company entered or left the tax group. The start date of the overall periods limits is for information purposes only. The end date is used to enable the transfer of the special prepayment in the end period, especially in case it differs from the standard (December).

Reporting Parameters

This subdialogue contains information about individual company’s VAT return. It can also be defined here whether the company submits ESL.

Employee data

The [Employee data] subdialogue contains information of the responsible persons for VAT return.

Responsible person for VAT return

Select from the drop-down menu the user who is responsible for the company’s VAT return. This entry is mandatory if the company sends its VAT returns to the tax office, using the VAT@GTC. For other companies this entry is purely informative.

Responsible person in Tax department

Select from the drop-down menu the user who is responsible for the tax department. This entry is purely informative and is not used for any other purposes in the VAT@GTC.

Phone number, Email

These fields are automatically filled with the Information about the selected user from the [Master data] main area. The field remains empty if no user has been selected or if the Information in the [User] dialogue has not been entered. Manual Input is not possible.

Additional Information for VAT declarations

Contribution to VAT Return

The subdialogue [Contribution to VAT Return] is only visible for representative VAT group members and standalones. If a third party e.g. a tax auditor or lawyer has made a contribution to the VAT return, the contact details can be recorded here. He/ she can be selected in the dropdown next to [Conributer].

Under Participation in the tax return in the selection list [Contact person], select the user who has participated in the tax return of this company (all selectable except superuser).

The data of this user will be transmitted to the tax office as a contributor to the tax return.

Data Supplier

The data supplier can be freely specified here for the preliminary VAT return (incl. special advance payment), the annual declaration and the ESL.

In the transmission protocol the data supplier is found under "transmitted by".

The data provider is specified in the transfer log for the preliminary VAT return.

In the transmission protocol of the ESL the sending company is found.

Bank Details

The bank details of a company can be stored here.

This field is for information only.

Type of bank

Corresponds to the SAP partner bank type BVTYP. It is output in the report Posting & Payment Voucher if a value is set in the master data.

Edit, delete and restore companies

Click on the [Edit] button of the selected company to open the [Detail view: Company]. Here the data of the already saved companies can be changed. The ID and VAT group data (except periods) cannot be changed anymore. Click [Save] to save the entered data and go back to the companies’ overview page.

 

Click on the [Show] button of the selected company to open the [Detail view: Company]. The data can be viewed, but cannot be changed.
To delete a company, click on the [Delete] button. The deleted company does not disappear, it is moved to the archived and can be viewed using the Display function. Previously deleted companies can be restored using the [Restore ] button. The restored companies are shown under the Active again.

Changing the VAT entity type of a company

If the Type of VAT group member of a company changes, this cannot be adjusted directly under Edit company. Rather, the company must be deleted in the current period and recreated with the corresponding new entity type. If only the tax group structure changes, but no change of the tax group type has to be made (e.g. from tax group company to intermediate tax group company), a change is possible directly, because in the tax group a company can be assigned to another parent company. 

Due dates VAT return

Since reporting periods and deadlines of other countries usually differ from the German due dates, individual due dates with different parameters can be defined here. For example, a change of the deadline when certain VAT limit values are exceeded.

On the left side the due dates are shown in an overview of the representative VAT group member and all standalones.


The right part of the page [Due date] can be used to create conditions for the due date. Enter the name for the new condition and click the [Create] button.

Having created the condition, dates for every reporting period [month / quarter / year] can be added. These conditions can be defined individually per period and company.

 

After that the defined conditions can be selected in the [Reporting parameters] subdialogue for each company.
