Innerhalb des SmartNotes Cockpits kann das Kontextmenü einzelner Kapitel mit der rechten Maustaste geöffnet werden. Mit einem Linksklick auf „Wordvorlage hinzufügen“ wird Word gestartet und die in SmartNotes hinterlegte Vorlage für ein neues Word-Dokument geladen [das Anlegen einer Wordvorlage ist in „Formatvorlagen für Word-Dokumente“ beschrieben].

Beim Schließen der Datei wird der Benutzer darauf hingewiesen, dass die angelegte Word-Datei noch nicht gespeichert [eingecheckt] wurde und fragt, ob dies nun nachgeholt werden soll.

Im darauf erscheinenden Dialog „SmartNotes – CheckIn“ wird in dem zentralen Feld ein Kommentar über die Änderungen des Dokuments eingegeben. Dieser wird an verschiedenen Stellen in SmartNotes angezeigt [z.B. in der Historie des Dokumentes oder beim Wiederherstellen früherer Versionen]. Daher sollte er eine sinnvolle und kurze Beschreibung der getätigten Veränderungen enthalten.

Mit der Funktion „Letzte Kommentare“ hat der Benutzer die Möglichkeit, seine zuletzt verwendeten Kommentare zu nutzen. Die Liste der Kommentare ist begrenzt und besteht aus den zuletzt verwendeten 20 Kommentaren.

Mit einem Klick auf den Button „Einchecken“ wird anschließend das Word-Dokument für das entsprechende Kapitel hinterlegt. Im Cockpit ändert sich das Symbol der Word-Datei in der Spalte „Word“ und wird um den letzten Änderungszeitpunkt ergänzt.

Wenn anstelle der Word-Vorlage eine bereits lokal gespeicherte Word-Datei für das Kapitel hinterlegt werden soll, kann diese über den Menüpunkt „Externe Word Datei hinzufügen“ des Kontextmenüs und dem daraufhin erscheinenden Explorer-Fenster ausgewählt werden.

Within the SmartNotes Cockpit, the context menu of individual chapters can be opened with the right mouse button. With a left click on "Add Word template" Word is started and the template stored in SmartNotes for a new Word document is loaded [the creation of a Word template is described in "CloudWord Layout Master"].

When closing the file, the user is informed that the Word file created has not yet been saved [checked in] and asks whether this should now be done.

In the "SmartNotes - CheckIn" dialogue that appears, a comment about the changes to the document is entered in the central field. This is displayed in various places in SmartNotes [e.g. in the history of the document or when restoring earlier versions]. Therefore, it should contain a meaningful and brief description of the changes made.

With the "Recent Messages" function, the user has the possibility to use his most recently used comments. The list of comments is limited and consists of the last 20 comments used.

With a click on the button "Check in", the Word document for the corresponding chapter is then deposited. In the cockpit, the symbol of the Word file changes in the column "Word" and is supplemented by the last modification time.

If instead of the Word template an already locally saved Word file is to be stored for the chapter, this can be selected via the menu item "Add External Word file" of the context menu and the Explorer window that then appears.
